Privacy Policy
How VP Scientific collects, uses, shares and protects personal information gathered through this website and in the course of supplying laboratory products.
On this page
1. Who we are
This website is operated by VP Scientific, a sole proprietorship owned by Judith A. Trudeau and registered in the State of Delaware, United States. Our business address is 132 Carlton Lane, Dover, DE 19904, USA. For any privacy matter you may contact us by email at manager@vpscientific.com or by telephone at (614) 671-3008.
VP Scientific is the data controller responsible for the personal information described in this policy.
2. Information we collect
We collect only what we need to quote, supply and support laboratory orders:
- Information you give us: name, organization, job title, work email address, telephone number, shipping and billing addresses, purchase order details, tax-exemption certificates and the content of your enquiries.
- Transaction records: items quoted and purchased, order history, invoices, payment status and correspondence. We do not store full payment card numbers; card transactions are processed by our payment provider.
- Information collected automatically: IP address, browser type and version, device type, operating system, referring page, pages viewed and time of visit, collected through server logs and, where you consent, analytics cookies.
We do not knowingly collect information from children, and this website is not directed to anyone under 16 years of age.
3. How we use your information
We process personal information for the following purposes:
- Preparing quotations and fulfilling orders, including delivery and invoicing.
- Providing customer support, documentation packs and returns handling.
- Maintaining lot-traceability and quality records as described in our quality program.
- Complying with tax, accounting, export-control and product-safety obligations.
- Improving the website and understanding which product pages visitors find useful.
- Sending service messages about your orders. Marketing emails are sent only where you have opted in, and every message includes an unsubscribe link.
4. Legal bases for processing
Where the laws of your jurisdiction require a legal basis, we rely on: performance of a contract (fulfilling your order), our legitimate interests (running and securing our business, responding to enquiries), compliance with legal obligations (tax and recordkeeping), and your consent (optional analytics cookies and marketing email). You may withdraw consent at any time without affecting processing already carried out.
5. Cookies and similar technologies
We use a small number of cookies. Strictly necessary cookies keep the site functioning and remember your cookie choice. Optional analytics cookies are set only after you select “Accept all” in our cookie banner. Full detail, including retention periods, is set out in our Cookie Policy. You can change your choice at any time using the “Cookie settings” link in the footer.
6. Sharing your information
We do not sell personal information, and we do not share it for cross-context behavioural advertising. We disclose information only to:
- Carriers and freight partners, to deliver your order.
- Manufacturers and authorized distributors, where an item ships directly to you.
- Payment processors and our bank, to take and reconcile payment.
- Accountants, auditors and legal advisers bound by confidentiality.
- Hosting, email and analytics providers acting on our instructions.
- Government bodies or law enforcement where we are legally required to do so.
All service providers are engaged under contracts requiring appropriate confidentiality and security.
7. International transfers
Our operations and hosting are located in the United States. If you contact us from outside the United States, your information will be transferred to and processed in the United States, where data-protection law may differ from that of your country. Where required, we put appropriate safeguards in place for such transfers.
8. Data retention
Quotation and enquiry records are retained for two years. Order, invoice and lot-traceability records are retained for a minimum of five years to satisfy our quality program and seven years where tax law requires it. Website analytics data is retained for 14 months. Marketing consents are retained until withdrawn plus three years. When a retention period ends, records are deleted or irreversibly anonymized.
9. Your rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to correct inaccuracies, to request deletion, to restrict or object to certain processing, to receive a portable copy, and to withdraw consent. Residents of California, Colorado, Connecticut, Delaware, Virginia and other U.S. states with comprehensive privacy laws additionally have the right to know the categories of information collected and disclosed, and the right not to receive discriminatory treatment for exercising these rights.
To exercise any right, email manager@vpscientific.com with the subject line “Privacy request”. We will verify your identity using information already on file and respond within 45 days, extendable once where the request is complex. An authorized agent may submit a request on your behalf with written permission.
10. Do Not Track and opt-out signals
Our website honours Global Privacy Control (GPC) browser signals as a valid opt-out of any sale or sharing of personal information, although we do not sell or share personal information in the first place. Because there is no industry consensus on Do Not Track headers, we do not respond to them separately.
11. Security
This website is served over HTTPS. Access to order and customer records is limited to personnel who need it, protected by individual accounts and multi-factor authentication, and reviewed periodically. Backups are encrypted. No method of transmission or storage is completely secure; if a breach affecting your personal information occurs, we will notify you and the relevant authorities as required by law.
12. Third-party links
Our pages may link to manufacturer datasheets, carrier tracking pages and map services. Those sites operate under their own privacy policies, and we are not responsible for their content or practices.
13. Changes to this policy
We review this policy annually and whenever our practices change. The revision date at the top of the page always reflects the current version. Material changes will be announced with a notice on the homepage for at least 30 days.
